Key Responsibilities
The role of the Assistant Officer involves the following duties and responsibilities to be fulfilled:
- Handle front-desk reception tasks.
- Manage duties within a call centre environment.
- Respond to incoming emails.
- Provide financial-related information in person, by phone, or via email.
- Record and respond to enquiries from students, staff, parents, guardians, and sponsors.
- Maintain documentation related to financial transactions and queries.
- Submit supporting documentation for scanning.
- Capture data on the PeopleSoft system, including bursary letters, payment plans, and provisional registration applications.
- Review and verify financial agreements for potential underage, first-time entering students.
- Generate and manage purchase requisitions and convert them into purchase orders.
- Log and follow up on maintenance requests.
- Order stationery and consumables required by the division.
- Coordinate travel and transport bookings.
- Schedule and organise meeting rooms.
- Report faulty equipment or deficiencies.
- Generate invoices using the billing system.
- Ensure compliance with POPIA by safeguarding sensitive and confidential information.
- Maintain filing systems.
- Generate and send out tuition fee statements and quotations.
- Record minutes for internal staff meetings.
- Summarise phone reports for Student Finance.
- Make follow-up calls to students as instructed.

Essential Qualification
Applicants will be required to meet the following minimum requirements to be considered for this role:
- Grade 12 or an equivalent NQF Level 4 vocational certificate, with Mathematics and/or Accounting as subjects.
Recommendations (Preferred)
- At least one year of relevant work experience.
- Understanding of general clerical and administrative functions.
- Familiarity with basic accounting principles.
- Strong numerical skills for solving calculations.
- Proficient in Microsoft Office and PeopleSoft applications.
- Functional knowledge of business operations and impact.
- Ability to manage documents and maintain accurate records.
- Strong problem-solving and analytical skills.
- Effective verbal and written communication abilities.
- Capacity to gather, interpret, and communicate information clearly.
