Position: Office Administrator – UP-PUA and Career Hub
Role Overview
The Office Administrator will provide comprehensive administrative and secretarial support to both the UP-PUA and the Career Hub. The role involves coordinating daily administrative operations, managing learner records, overseeing financial transactions, and facilitating internal and external communications. Additionally, the incumbent will act as the Secretariat for both units, ensuring accurate documentation and tracking of meeting outcomes and follow-ups.

Key Responsibilities
The role of the Administrative Officer involves the following duties and responsibilities to be fulfilled:
- Oversee office operations and administration for UP-PUA.
- Provide secretarial and administrative assistance to the PUA and Career Hub.
- Handle financial processing and general administrative duties.
- Maintain accurate learner data records.
- Serve as a liaison and manage internal/external communication.
- Coordinate and promote events and marketing initiatives.

Minimum Requirements
Applicants will be required to meet the following minimum requirements to be considered for this role:
- A three-year National Diploma in Office Administration or a related field with at least 2 years of relevant experience;
OR - Grade 12 with a minimum of 4 years of relevant experience.
Essential Competencies
- Proven experience in office and secretarial administration.
- Knowledge of financial and project administration.
- Event coordination skills.
- Proficiency in MS Office, especially Microsoft Excel.

Preferred Qualifications and Experience
- A relevant degree.
- Qualification in Project Management or Event Coordination.
- Experience in an academic or tertiary environment.
- Familiarity with ERP systems (especially PeopleSoft and its financial module).
- Background in project management, budgeting, or public relations.
