Job Description

This position involves performing administrative tasks to support the maintenance department. Responsibilities include timekeeping, minute-taking, budgeting, handling non-stock item orders, coordinating with suppliers, managing overtime documentation, and preparing relevant reports and paperwork as needed.


Minimum Requirements

  • Grade 12 qualification.
  • A diploma in Administration is an added advantage.
  • 1–2 years of relevant administrative experience.
  • Proficient in MS Word, Excel, PowerPoint, and email communication.
  • Strong organisational abilities.
  • Proficient in English – both verbal and written.
  • Basic understanding of hygiene standards.
  • Excellent punctuality and time management.
  • Able to work well under pressure and willing to work overtime when necessary.
  • Familiarity with HACCP standards.
  • Valid driver’s licence.

Key Responsibilities

  • Manage attendance records, including gate registers and time sheets.
  • Track leave and absenteeism; ensure leave forms are completed, signed by the HOD, and submitted to HR/Admin.
  • Monitor daily water and electricity consumption, maintaining accurate Excel records.
  • Complete, submit, and file overtime schedules and authorization forms.
  • Conduct PPE checks every three months and manage related documentation.
  • Control the pass-out book for equipment, waste, and scrap materials leaving or returning to site.
  • Maintain a file for weighbridge slips for materials like waste feather meal, coal ash, and scrap sales.
  • Use Syspro to generate requisitions, purchase orders, and GRNs; ensure all received goods are processed and finance receives the correct documentation.
  • Track all outstanding orders and request credit notes from suppliers when needed.
  • Complete Capex and high-value maintenance purchase documentation for Head Office approvals.
  • Manage supplier budgets for both stock and non-stock purchases using Excel.
  • Compile and distribute monthly reports on water, electricity usage, and efficiency.
  • Submit staff petrol books to HR/Admin.
  • Create monthly PowerPoint reports summarising departmental performance.
  • Record and file meeting minutes.
  • Use and maintain Windows-based systems, including MS Office, Syspro, and Pragma.
  • Keep the maintenance action list current.
  • Perform additional administrative duties as required.
